The program coordinator will join our team at a time of strategic growth, with increasing interest in ocean technology and recognition of its potential to mitigate some of the planet’s most pressing environmental issues. Developing ocean technologies and businesses to send them to wider markets remains a daunting challenge, and without proper support many good and essential ideas can be lost. Our job is to find the best ideas and provide both the financial and business support needed to help creative developers carry their ideas through to fruition. We also help those working on ocean solutions to get better connected with each other and with outside resources, such as investors and interested engineers from other fields. To that end we host a variety of networking events in San Francisco, and sponsor various conferences and other gatherings.
The program coordinator will support all aspects of this mission, including research to help us identify the best ideas to support, work with development groups, and help with a range of networking activities. While this is an entry-level position, there will be ample room for growth. As a relatively small team we all take on a broad range of tasks and responsibilities, and we work together in developing strategies.
- Maintain grant files, including contact management, and use an online database to manage individual grant information
- Review and synthesize data and information from grant proposals and reports
- Work closely with grants administration and finance teams to ensure grants are processed and managed in a timely, accurate and compliant manner
- Help coordinate staff travel, meetings and special events, and help manage logistics for participants at Foundation’s annual grantee gathering, and Schmidt Marine advisory panel meetings
- Aid in the identification and organization of content for website and social media
- Aid in research to identify potential grantees and management of related files (Streak)
- Provide events planning support, drafting invitations (MailChimp), coordinating with vendors, as well as staffing events
- Work closely with Schmidt Marine’s program manager and chief technologist to manage grantee and prospective grantee relationships
- Managing Schmidt Marine’s office space– coordinating visits, coordinating external events hosted at the office, and managing supplies
- Ability to work effectively in a small organization with an emphasis on teamwork
- Excellent organizational skills
- Strong ability to work through administrative processes with a keen attention to detail
- Flexibility to work simultaneously on a wide range of projects and ability to prioritize tasks, manage time effectively, and meet deadlines
- Ability to work both as a team member and individually, with a high level of self-motivation
- Strong interpersonal skills to interface and coordinate professionally with a number of diverse internal and external contacts, including grantees, prospective grantees, vendors, and fellow team members
- Knowledge of ocean issues through academic or philanthropic work a strong plus
- College degree or equivalent education, with a record that demonstrates suitable preparation for this position
- Experience using online databases preferred
- At least 1-3 years relevant experience
- Past work on ocean issues strongly preferred
- Familiarity with or past experience in business development and/or related legal issues is an asset
This position will be based in San Francisco and Palo Alto, California with some domestic and international travel possible. In the near future, the foundation’s Palo Alto office will be moving to Menlo Park.
